Guidance for virtual meeting via Zoom 1.1 Meeting on-line with Zoom Zoom is a web-based video conferencing tool with a local, desktop client and a mobile app that allows users to meet online. To use Zoom you will need one of the following: ■ Computer: Windows or Apple computer with speakers and a microphone. ■ Mobile Device: iOS or Android. ■ Phone: Mobile device, desk, or landline. 1.2 How to connect to a Zoom meeting If you are joining from a computer, enter by clicking the Zoom meeting link or by entering the meeting ID and password in Zoom tool https://zoom.us/join. When entering a Zoom meeting for the first time from a computer you will need to download an application file. (you can also attend without downloading the application file by clicking web-based option but with limited control options). The recommended browsers are: IE 11+, Edge 12+, Firefox 27+, Chrome 30+. ■ Click on link (highlighted in green) to download the plug-in to your computer, the preferred option. ■ Click on link (highlighted in red) to continue to web-based view without downloading any application to PC. This option has limited in-call options. 1. If you are joining from a mobile device (Android smartphone/tablet, Apple iPhone/iPad) then it will simply prompt you to download the Zoom Cloud Meetings app from the App/Play Store. See here for more details. 2. If you would like to attend a Zoom meeting via telephone please call the number for your country (check this link for up to date numbers https://zoom.us/zoomconference ). Then enter the Meeting ID and PIN when prompted. Just before entering the meeting you will be prompted to enter a display name, enter the country/organisation and your name to identify you in the meeting. Page 2 of 7 GUIDE FOR VIRTUAL MEETINGS FOR EXTERNAL USERS 3. You will then be prompted how you wish to join your audio. Simply select join Audio by Computer (this is the recommended option). If you wish to join audio via the telephone click join by Phone and follow the instructions. 4. The participants will enter a waiting room first, then the host or co-host will accept the participants to enter. This is a mandatory option from Zoom. 1.3 In call options Participants have access to these functions: Mute / Unmute: Mute and unmute your microphone. Audio Controls (click the ^ arrow next to Mute / Unmute): Allows you to change the microphone and speaker that Zoom is currently using on your computer and access the full audio settings. Start Video / Stop Video: Turns your camera on or off. Video Controls (click the ^ arrow next to Start Video / Stop Video): Change cameras if you have multiple cameras, select a virtual background (if enabled), or access your full video settings. Participants: See who's currently in the meeting. The Participants list also gives you access to these options: Rename: Hover over your name and click Rename to change your screen name displayed to other participants. Non-verbal feedback icons: Places an icon beside your name to quickly notify the host. Raise Hand places the raise hand icon beside your name and simulates that you have a question or would like to speak. The host or co-host will then unmute you microphone to speak. Kindly remember to “lower hand” after your intervention (function is not available in web-based view). Page 3 of 7 ZOOM GUIDE FOR EXTERNAL USERS Share Screen: Start a screen share (if the host allows). You will be able to select the desktop or application you want to share. To stop sharing click on tool bar on top of screen. Chat: Access the chat window to text with the participants. You can use the ‘Chat’ function to send text chat to all participants or privately to specific participants. Gallery View: option enables one to see up to 49 participants on the screen on separate pages. In speaker view on sees the speaker/presenter in the large view and up to 25 participants in the small window. Leave Meeting: Leave the meeting while it continues for the other participants. Only the host can end the meeting. 2. Technical requirements 2.1 System requirements To use Zoom you will need: ■ An internet connection – broadband wired or wireless (3G or 4G/LTE); ■ Speakers and a microphone – built-in or USB plug-in or wireless Bluetooth; ■ A video camera, either built in to your device or a separate webcam (most modern computers, smartphones and tablets have this built in); ■ Users who are restricted from their administrations to download external software (practice followed for corporate PCs by some administrations) it is proposed to use a private PC or tablet. 2.2 Supported operating systems Zoom is supported by the following operating systems: ■ MacOS X with macOS 10.7 or later; ■ Windows 10 (devices running Windows 10, must use Windows 10 Home, Pro, or Enterprise. S Mode is not supported); ■ Windows 7, 8 or 8.1; ■ Windows Vista with SP1 or later; ■ Windows XP with SP3 or later; ■ Ubuntu 12.04 or higher; ■ Mint 17.1 or higher; ■ Red Hat Enterprise Linux 6.4 or higher; ■ Oracle Linux 6.4 or higher; ■ CentOS 6.4 or higher; ■ Fedora 21 or higher; ■ OpenSUSE 13.2 or higher; ■ ArchLinux (64-bit only). 2.3 Supported tablets and mobile devices ■ Surface PRO 2 or higher running Win 8.1 or higher (for tablets running Windows 10, they must use Windows 10 Home, Pro, or Enterprise. General recommendations For a smooth videoconference we recommend you the following: ■ Mute your microphone when not speaking or during presentations to avoid disturbances. ■ Use the “raise hand” function to show that you would like to ask a question or wish to speak. Please “lower hand” after the intervention. ■ Use the chat function to request to speak or to ask a question. The chat messages will be monitored by the meeting co-host. ■ Do not make any audio or video recording during the meeting/training. ■ Read carefully the workshop documentation. Background information and presentations of the documents during the workshop will be short (to give more time to the discussions). ■ Make sure that you can install and use the tool from a usability perspective. Test the tool well in advance. ■ Dial in at least 20 minutes before the session starts. Page 5 of 7 Ref.
