To the First Delegates of PIANC To the Secretaries of the National Sections Dear Colleagues, At the occasion of the 80th Council meeting in Seville – Spain on 15 October 2018, the Council meeting agreed on the proposal to ‘upgrade’ the ProCom Co-Chairmanship to a full Commission Chair. The aim is to take on board a new Chair in Kobe - Japan at the occasion of the 81st Council meeting early June. To allow the ExCom to evaluate the candidacies, we kindly ask to forward candidacies to HQ before 31 December 2018, accompanied of a motivation letter and CV of the candidate. Please find attached the function description of the ProCom Chair. Further we wish to draw your attention that, in accordance with Art 55 of the Rules & Regulations and as a general rule, no wages or other costs of Chairmanship are chargeable to the Association. Collaboration with external professional support may be suitable upon proposal of ProCom and approval of FinCom with final decision by ExCom - (co-)organise, guide and oversee all promotional, marketing, publication and educational outreach (in co-ordination with CoCom) activities for PIANC - be responsible for the identification of stakeholders, the execution of the Strategic Plan/Marketing Strategy, the development of the promotion budget in co-operation with FinCom and routine reporting to the ExCom, Council and AGA on the activities and accomplishments of the Promotional Programme - increase activities regarding navigation infrastructure stakeholders including public authorities and related private industry sectors - reach out PIANC’s products to non-governmental organisations (NGOs), universities and training centres and other professional societies targeting their technical conferences The main activities of Procom include: - executing relevant parts of the Association’s Strategic Plan and Marketing Plan - taking initiatives to produce content for the e-newsletter ‘Sailing Ahead’ and social media - providing especially non-technical information about the Commission’s relevant activities, in particular for the international website - within their scope, implementing the agreements that PIANC enters in to with Sister Associations and in particular to take responsibility for the representation of PIANC in these associations’ Commissions/Committees dealing with similar subjects - overseeing projects carried out by experts (e.g. website, etc.) - participating in relevant internal and external conferences, seminars, workshops, debates, etc. - seeking funds and sponsorship, where appropriate and relevant, from other sources in co- operation with the Secretary-General, to support the activities of PIANC - providing advice to the President or the General Secretariat on topics within their scope - charging Sub-Commissions or Task Groups with specific tasks A candidate for the Chair of ProCom shall fulfil the following minimal conditions: a. He/she shall be acquainted with and have taken part in the activities of the Association b. He/she shall be willing and able to undertake the duties of Chair of ProCom, as set out in this document. c. He/she shall have at least fluent written and verbal skills in English. The main tasks of the chair of ProCom: As Chairman of ProCom you will have to: - facilitate and co-ordinate the working of the Promotion Commission - increase active participation in ProCom - involve strategic partners, such as Sister Organisations and the Platinum Partners, in ProCom - identify new trends, ways of communication, marketing products and potential partners to increase visibility of PIANC and support its events - support the formulation and implementing of the Marketing Plan - attend meetings of the Executive Committee, the Council and the GA - keep track of the activities and issues of other Commissions with regard to the objectives of ProCom - attract additional Qualifying Members and Platinum Partners - represent PIANC by focusing in particular on ports in order to attract Corporate Members from that sector - analyse and monitor brand recognition and marketing efforts - proof-reading and creative approval of marketing material prior to use - execute various other duties, which might include assisting NS in some of their activities as determined by the ProCom The required possible competencies and skills - sound understanding of different communication possibilities - sound understanding of international marketing and regarding different target groups, such as B2G, B2B, B2C (governments, business, consumers) and across the age-differences - good management skills and able to communicate at all levels - analytical: numeric and process thinking capabilities - flexible - good people skills. Relationship builder and networker - able to function in multilingual and international environment - supportive and reliable under all circumstances - adhere to PIANC-values - communicative or sales-oriented - experience in a similar position or a degree in Marketing or Communication is an asset - knowledge of other languages PIANC The World Association for Waterborne Transport Infrastructure Bruxelles, le 29 octobre 2018 Aux premiers délégués de PIANC Aux secrétaires des sections nationales Chers collègues, A l’occasion de la 80ème réunion du Conseil à Séville – en Espagne du 15 octobre 2018, le Conseil a approuvé la proposition de ‘revaloriser’ la co-présidence de ProCom à un(e) président(e) de la commission à part entière. L’objectif est d’engager un(e) nouveau/nouvelle président(e) à Kobe – au Japon à l’occasion de la 81ème réunion du Conseil au début du mois de juin. Afin de permettre l’ExCom d’évaluer les candidatures, nous vous prions de bien vouloir envoyer des candidatures au secrétariat général avant le 31 décembre 2018, avec une lettre de motivation et un CV du/de la candidat(e). En outre, nous aimerions appeler votre attention sur le fait que, suivant l’article 55 du Règlement interne et en règle générale, l’Association ne sera pas redevable d’un salaire ou d’autres frais.
