Saatja: CECC 2017-2020 <[email protected]> Teema: **SPAM** Information on the on-line meeting of the Circle of Presidents (XVIII Congress of CECC) Dear colleagues, We are addressing you with regard to the on-line participation in the meeting of the Circle of Presidents, which is scheduled to be held on 24 February 2021. We would like to ask you most politely to read this e-mail thoroughly. First, we would like to reiterate that the official languages of the meeting are English, French, German and Russian + the language of the host (currently Czech). Since the meeting will be held on-line we very much need to know in advance, which language your Court will use. Please, let us know (by 12 February at the latest), which language (one out of the five) your president chooses. Please, be advised, it will not be possible to change (switch) the language channels during the meeting. Second, we would like to clarify, that two representatives of your Court may participate in the meeting: ACTIVE PARTICIPANT One representative (usually a president/chairperson/chief justice) will be the “active” participant. It means she/he will be able to take part directly in the discussion, in the voting and of course watch and listen. Please, take into account that in case you intend to have a personal interpreter for your active participant by her/his side, the interpreter should be speaking on behalf of your active participant – using the microphone of your active participant. It is the voice in one of the official languages, which is important to transmit (for sake of interpretation into the other official languages). In this context, we would like to ask you kindly to inform us, whether your active participant will use an interpreter or not (by 12 February at the latest). PASSIVE PARTICIPANT The second representative, usually the Secretary General or other official of the Court, will be the “passive” participant. It means she/he will be able to watch and listen to the meeting from a separate (her/his own) device; however, she/he is not supposed to intervene in the meeting. Zoom application on the passive participant´s device should be muted for the whole duration of the meeting and the microphone should be switched off. If the passive participant is present in the same room as the active participant, the passive participant must use headphones. The on-line meeting of the Circle of Presidents will work pretty much the same as it would have worked under the normal “in-person” situation. Normally, the heads of delegation (active participants) with right to speak and vote would sit at the table with the microphone and the voting device in front of them and the accompanying person (passive participant) would sit behind them (without a possibility to intervene). The active participant will be enabled to access the videoconference and voting platform via a link, which will be sent to the e-mail address of your IT person. (You have already given us this e-mail address in the registration form). Please, note it is necessary and essential that the device used for the connection test (planned on 8-18 February) must be the same device as the one used during the actual meeting. As for the voting, for reasons of security and transparency it will be processed via SLIDO. Thanks to the registration forms, we already know name and position of your “active” participant who is to be present at the online meeting. We also know the e-mail address of the IT person, who will be taking part in the preliminary test of connection (on 8-18 February) and whose e-mail address will be also used for delivering a link to access the actual meeting of the Circle of Presidents (by the active participant). Now, we would like to ask you to send us name, position and e-mail address of the passive participant of the Circle of Presidents (by 12 February at the latest). Please, be advised, the device of the passive participant should be also prepared for the meeting (even though it will be used only for watching and listening). It is probably reasonable to share all the aforementioned information with your IT department. To sum up, we are asking you most politely to communicate to us by 12 February 2021: 1. Which official CECC language your Court will use during the meeting of the Circle of Presidents, 2. whether your representative will use an interpreter or not, 3. name, position and e-mail address of the “passive” participant.
